The wiki has proven to be an essential part of the ASK project. It’s not only the team’s most thorough reference source, it’s also an important learning tool—after all, the best way to really wrap your mind around something is to write about it! The wiki is also a living resource, one that has grown dramatically, adapted to the needs of the team, and presented us with some unexpected challenges.  And as a shared digital resource on the Museum’s collection, it still holds a lot of untapped potential.

First, let me say that we’ve made a lot of progress! Last spring, to get the ASK wiki off the ground, we selected and started writing about 10 objects from each of the 8 collection areas on view (about 80 wikis). As of today, the ASK wiki has expanded to 45 American Art, 26 African Art, 23 Arts of the Americas, 28 Contemporary Art, 50 Decorative Arts, 17 Egyptian, Classical, and Ancient Near Eastern Art, 46 European Art, 3 Arts of the Pacific Islands, 4 Asian and Islamic Art, and 1 Library wikis (243 total). Though this is only a fraction of the collection on view,  the team starts new wikis every week so our database will only continue to grow over time.

All in all, the organizational principles we developed for the wiki last spring have worked well for the team. Rather than a narrative, catalog-style entry, the information in each object wiki is divided into consistent sections, such as Materials, Style or Cultural/Historical Context. This helps the team know where to go for answers to specific kinds of questions. However, user experience brings insight: As we’ve discovered how exactly the team uses the ASK wiki, we’ve adapted it to better align with their needs. For instance, we have reorganized the sections to highlight the kinds of information visitors tend to ask about most, like artist biographies and iconography. Often, visitors don’t even start a conversation with a specific question but rather with a photo or an expression of interest. (The first automated message they receive via the app is, after all, “Find a work of art that intrigues you. Send us a photo.”) To facilitate our ability to quickly respond to such open-ended inquiries about objects, possibly ones unfamiliar to the team member staffing the dashboard at that time, we’ve created a new section at the top of each object wiki with 3 sentences of essential information plus 3 interesting facts that might spark a good conversation. As we make more and more wikis, we have also noticed that some objects are very similar to each other and that creating new wikis for each one would be needlessly repetitive. (These works are sometimes displayed together in the same case, like 2015.65.1 and 2015.65.15, but sometimes not, like 41.848 and 40.386.) So we’ve implemented group object wikis that address a certain type of artwork, like ancient Iranian animal-shaped vessels or Egyptian Fayum portraits. Conversely, not all objects in the Museum’s collection have the same informational needs. It might be essential to know about the author of a European or American painting, but the maker of an Egyptian artifact is usually not known. So we have also created dedicated wiki templates for different collections, with sections that make sense for them.

There are also some challenges that have proven more tricky to overcome. In our initial plan for the wiki, we envisioned that curators would regularly review and contribute to it in order to ensure the accuracy of its information. We knew, however, that the team’s priorities (breadth and basic data) would be different from curator’s expectations (depth and clarity of style) when reading about works in their collection. A team member might quickly create a wiki by copying and pasting information from one or two sources and come back to add more information over a period of several weeks—or they might not, depending on their availability and needs. So, in order to protect curators’ time and put our best foot forward, we devised a system for flagging wikis for curatorial attention only when I, as the Curator Liaison, had edited it for readability and updated it for comprehensiveness. This very quickly proved to be unfeasable. The 6 team members generated wikis at such as pace that it was too much for one part-time employee to edit and update consistently in order to maintain a stream of “finished” wikis for curatorial review. In other words, we had a MAJOR bottleneck problem. Moreover, without specific prompting, most curators or curatorial assistants did not have the incentive or time to contribute to wikis. Curatorial review of the wiki has, therefore, been minimal, even as the team continues to use it to answer questions.

However, now that curators are actively and regularly providing feedback on “snippets” (segments of past ASK conversations tagged to specific object IDs and provided to curators as a report), we are faced with two questions: 1) Is curatorial review of the ASK wiki, an internal non-public facing resource, as crucial as it seemed a year ago when we did not have a protocol in place for curatorial review of the team’s actual conversations with visitors; and 2) Is curatorial review of the ASK wiki now needlessly repetitive since any corrections the curators make to snippets are not only used to update them in the dashboard, but are also incorporated into the ASK wiki. These questions will only be answered through continued conversations with curators about their desired level of involvement and oversight. The solution to the bottleneck problem, however, might entail changing our own process of writing, sharing, and vetting wikis.

As a content-heavy, object-based digital resource on the Brooklyn Museum’s collection, the ASK wiki has a lot of potential for application outside the strict confines of the ASK app. For example, we’ve had a lot of interest from Museum Education, who like the ASK team are on the frontlines of interpreting the Museum’s collection for the public. Yet some of the ASK wiki’s benefits—its malleability, integrated content, and multiple authorship—make expanding it to the larger Brooklyn Museum community very very tricky. On the one hand, the more people who would potentially use and author object wikis, the more collection information would be available to all Brooklyn Museum staff, including the ASK team. In other words, object information siloed in individual departments could potentially get integrated into (or possibly uploaded to) a searchable digital resource available to all. On the other hand, the more cooks in the kitchen, the greater the potential for conflicting priorities, unruly entries, and quality disparities. That is, the information system we created for the ASK team works really well for the ASK team, but other users will inevitably have different needs. Expanding this easily writable and editable resource will, therefore, require more editorial, organizational, and curatorial oversight—which is exactly the shortfall we already face with our current 6 authors. It is absolutely a project worth pursuing, but it is also one that invites careful consideration by all parties, something we will be doing in the coming months.

How do you communicate information about art in an informed and engaging way over text message? How do you prepare yourself to answer questions about any and every object in the museum? How do you make sure your answers and language convey your personality (so visitors know its a human being on the other end) as well as curatorial intent and institutional philosophy? This last challenge is one that I’ve been thinking about a lot lately and one that I hope to help the team meet head on.

Connecting with curators is a priority that Sara, Monica and I are tackling on a number of fronts. The first and most direct has been listening to curators speak about their collections—what they contain, how they’ve changed over time, and how they are installed.

In their first month of training, the ASK team attended sessions with curators from every area of the Brooklyn Museum’s collection that is currently on view—Asian art, which will be reinstalled on the museum’s second floor in 2017, is currently on the back-burner. These talks have been indispensable in helping the team become familiar with each curator’s unique voice and perspective. For instance, Barry Harwood, Curator of Decorative Arts, captivated us with anecdotal stories about the previous inhabitants of the periods rooms while also emphasizing traditional art historical styles and the museum’s great strength in progressive machine-made and patented design for the middle classes.

On my end, I have relied on these initial curatorial sessions, as well as follow-up conversations and museum publications, to write wikis about the history, curatorial philosophy, and critical issues of each collection area. The team will be able to reference these when faced with particularly tricky questions for which curatorial departments have specific scholarly or philosophical viewpoints.

For instance, the Egyptian, Classical, and Ancient Near Eastern Art wiki includes the department’s stance on critical issues like the ethics of collecting antiquities, the race of the ancient Egyptians, and iconoclasm in the Middle East, both past and present. It also provides the ASK team with language formulated by Ed Bleiberg for how to respond to visitors’ surprisingly frequent questions about supernatural and extraterrestrial theories for origins of ancient Egyptian civilization. Critical issues for other curatorial departments include topics like what it means to curate with a feminist methodology at the Elizabeth A. Sackler Center for Feminist Art, the importance of historical change and adaptation in African art, the expanded definition of “American” in the American Identities galleries, and issues of repatriation in the Arts of the Americas collection.

Curators have not only helped to identify these topics but will also contribute to the form they take in the ASK wiki. Like myself, Monica and the ASK team, they are being set up with accounts on Confluence, our wiki platform, and invited to review its contents. That is, they can comment, critique, add to, or rewrite both my collection area wikis and the object-based wikis that are being researched and written by the ASK team. To protect curators’ time, however, articles will only be flagged for curatorial attention once they have been reviewed by the ASK team member “majoring” in that particular collection, as well as by me.

Curators are also participating in ASK app testing. Over the next month and a half, as our team continues to learn the collection in preparation for launch on June 10, curators will be on hand to help answer questions during testing sessions taking place in their galleries. This not only gives the team a sense of how particular curators handle incoming queries in their collection areas, but will also allow us to populate our initial knowledge base with curator driven language. During the post-processing of these initial testing sessions, particularly useful segments of these early conversations (called “snippets”) will be tagged (via accession number) to specific objects so they will appear alongside objects in the Dashboard. These can then be referenced or reused by the team in later sessions. In the future, questions that stump out team will also be forwarded to curatorial departments and answers tagged back into the database for reuse.

Connecting with curators has been an essential part of the ASK team’s training so far and their continued involvement through the ASK wiki and other means will be crucial to the team’s success.

Although the conduit for this connection will be a piece of technology, its authors will be people not unlike the ones who already give tours and interact with visitors in the galleries today. The difference, of course, is that unlike a traditional museum educator who provides information of her choosing about a group of preselected objects or, at the very least, speaks with visitors about a predetermined area of the collection, the people behind the ASK app will be expected to answer visitor initiated questions about objects from any part of the collection. This is an intimidating task for even the most experienced museum professional or art historian!

Luckily, there are some additional differences between the traditional museum education experience and the ASK app. For one thing, the person answering a visitor’s question is not in direct view. So while a gallery lecturer thumbing through notes might be a bit distracting, our audience engagement team members will be free to look things up. In addition, the medium of text message has a built-in expectation of moderate response delay (asynchronous communication). Thus, our team members will have a few minutes to find the answer to an unfamiliar or tricky question. Knowing these basic challenges, benefits, and constraints, it was always clear to Shelley and Sara that in addition to the dashboard, which connects our audience engagement team to incoming visitor questions, they also needed a tool that would allow the team to access in-depth and reliable information about objects in the collection very quicklythey needed a wiki! My job, as Curatorial Liaison, is to help give this ASK wiki form in consultation with curators and Monica Marino, our Audience Engagement Team Lead.

A wiki will have a number of essential benefits for our team:

  • Searchability: As a digital resource, a wiki is easily accessible and searchable. This is important because, when responding to questions on the dashboard, our team won’t have time to thumb through books or read entire essays to find the answers to object specific questions.
  • Content integration: We are sourcing content from a variety of vetted sources—including collection and exhibition catalogues, museum education training materials, and scholarly articles—to create a single trusted reference tool.
  • Multiple kinds of content:  We can gather and store comparative images, x-rays, videos and the like—dynamic content which we can then quickly and easily share with visitors via text as our conversations progress.
  • Consistent organization of information: We are creating detailed object page templates with sections devoted to things like materials, iconography, cultural context, related historical events, style, artist information, and provenance. Thus, our team with know immediately where in a page to look for particular kinds of information.
  • Multiple authors: The daunting task of creating and updating content (which we hope will eventually encompass every object on view) can be spread between the entire team. Monica and I will also maintain administrative roles, vetting content either by approving edits or reverting to previous versions of pages. Curatorial staff will also have administrative accounts so that they can easily review content in their collection areas.

In choosing a specific wiki platform, Monica and I quickly realized that our most important criteria was usability. On Thursday, February 5, we participated in our first round of user testing and the experience was eye-opening. Chief Curator Kevin Stayon, Monica, and I manning the dashboard while a few dozen visitors explored the American Identities galleries.The rate at which questions came in could be so high that responding to questions in anything resembling a timely manner was extremely challenging. This was especially the case with unfamiliar questions that required some “googling” and the inevitable selection of trustworthy sources. A clean, intuitive interface, free of any extraneous text, branding or links was thus absolutely key, as was a clear automatically generated table of contents. We also knew we needed the ability to easily embed, reposition, and caption images; to upload PDFs and other files; and to automatically insert content from other parts of the wiki so that oft-repeated information (like artist biographies or religious practices) only needed to be updated once.

A wiki will supplement the dashboard to help answer visitor questions. A clean, intuitive platform was needed that we can later fully integrate into the ASK dashboard.

We looked at and tested several different platforms that we found through an online tool called WikiMatrix. Our first selection was Wikispaces, a beautifully designed wiki hosting service largely geared for classroom and higher education use. When we brought our choice to the technology team, however, we learned that they had some additional criteria we hadn’t originally anticipated. Initially, we had all understood the wiki’s function as an internal reference tool for the audience engagement team and thus largely distinct from the dashboard. Yet the user testing that had lead Monica and I to focus more on usability had also sparked discussion about possible additional applications for the ASK wiki in the future. For example, wouldn’t it be great if, one day, the wiki could be linked to the dashboard directly? That is, if an object detail in the dashboard (whose information is imported directly from the collection online) could also automatically show existing ASK wiki content on that object, or even a link to it, that would be much faster than having to search for an object in the wiki by copying and pasting an object ID. This type of functionality would require a good API (application programming interface) in order to link the two pieces of software by tagging pages with object IDs. Wikispaces, we learned, does not have a comprehensive API for this purpose and that would limit what we could bring into the dashboard at a later date. So it was back to the virtual drawing board. After testing two more wiki platforms suggested by David Huerta, our Lead Developer, we settled on Confluence, a team collaboration software mainly used in corporate environments. As a comprehensive project management application designed for purposes rather different from ours, it has numerous features beyond our immediate needs. We will resist temptation and ignore (and, where possible, deactivate) these additional tools, using only their wiki functionality.

Digitizing object based information about the museum’s collection has a lot of potential for future use across our institution. Our current objective is thus to keep the wiki-building process simple by using an existing wiki platform but also flexible by meeting certain technical requirements that will ensure integration at a later date.
